Madbury Commons Move-Out Checklist

Step 1: Review All Move-Out Communications

LEASES END ON MAY 20, 2024

All residents must be moved out of the building along with having any applicable bedroom, mailbox, and apartment keys returned to our leasing office no later than 5:00 pm.

Please review the below Move-Out communications to be best prepared for your lease end date.

Step 2: Review Your Suggested Move-Out Time

Complete our “Suggested Move-Out Time” form. This form is meant to help us best control traffic and provide a safe Move-Out.

*These Move-Out times are suggested. It is not mandatory that you follow this schedule.

Step 3: Complete Your Security Deposit Return Form

Provide us with the mailing address you would like your Security Deposit Return sent to.

Please complete the form located at the bottom of this page. Click the menu tab “Security Deposit Return Form“, or scroll down to access this form.

Step 4: Review Our Cleaning Guide

Residents are required to return their unit in the same, clean condition it was received. Any further cleaning, repairs, and replacements will incur additional deductions from your security deposit. Our Cleaning Guide is included for your reference. Residents should clean according to the instructions provided to avoid additional charges against the security deposit.

DUMPSTERS: Beginning on May 10, 2023, an additional dumpster will be placed behind Madbury Commons. Please break down bulky trash and place it as neatly as possible into this larger dumpster.

PLANET AID: Any sheets, blankets, clothes, or shoes can be placed in trash bags and put in the yellow Planet Aid dumpsters located in parking lot at Davis Court and Dennison Road. Please do not put regular trash in this dumpster. If you have any questions about what can be thrown in the Planet Aid dumpster, please call Planet Aid directly at (603) 594-4175.

Once ALL residents and belongings are vacated, each unit will be inspected by a member of our Madbury Properties staff. Units will be assessed to determine maintenance and cleaning needs in order to prepare the room for incoming residents. Staff will determine what, if any, charges will be applied to resident accounts. A standard list of Charges for Repair or Replacement of items that will be used in calculating security deposit refunds is attached for your reference.

Step 5: Moving Out Your Belongings

All leases end on May 20, 2024. Residents and their belongings need to be out of the units and keys returned no later than 5:00 PM on this day.

If your entire unit has chosen to extend your leases and remain in your current apartment for 2024-2025, you will not be required to move out of your unit in between lease terms. Any single residents renewing in the same unit without majority of roommates also renewing or any current residents switching apartments within Madbury Commons are required to vacate in between lease periods for unit to be cleaned and prepared. Due to the volume of requests, we are NOT able to offer any storage options. No exceptions can be made to this policy.

MOVING BOXES

Madbury Properties will be providing rolling moving boxes and dollies during move-out. Please return boxes to lobby area when finished so other residents can easily access and use to move-out their belongings.

GRADUATION WEEKEND MAY 18 & 19

Madbury Properties staff will be present on Saturday and Sunday from 10:00am-4:00pm in order to assist and reinforce proper move-out procedures.

PARKING 

  • Parking at Madbury Commons will be provided ONLY for residents to load items into their vehicles.
  • We have arranged for RESERVED PARKING at multiple downtown locations on SUNDAY, MAY 19 ONLY where residents can leave their vehicles for longer periods. *Please note that reserved spaces will NOT be available on Saturday, May 20.
  • Please keep in mind that the parking spaces located in the Madbury Commons Boulevard marked “IOL” or “1 Hour Parking Only” are reserved for commercial tenants use only and vehicles in violation of the posted policies will be subject to towing.
  • We are NOT able to offer any visitor or short-term parking at Davis Court or Dennison Road during the move out or graduation weekend.

Step 6: Returning Your Keys

Residents each received one key fob to access the building and apartment, and a separate individual bedroom key. Each unit was also issued one mailbox key.

An envelope for each resident with your name, apartment number, and a line for you to write your bedroom letter will be included in the move-out packet which will be delivered to your apartment. Please put ALL keys provided to you when you moved into your apartment inside your envelope and return them to our Madbury Properties Leasing Office located on the ground floor of the South building. 

Note* One resident can place the mailbox key in their envelope and make note of the key enclosed in the envelope.

Keys will NOT be accepted past the lease expiration date of May 20 and fees will be assessed for replacement.

Security Deposit Dispute: Step One

Move Out Inspection Report Request

Begin your security deposit dispute by completing this form to request a copy of your move-out inspection report. After completion of this form (Move Out Inspection Report Request), our staff will send over your move-out inspection report and include the link to complete our Madbury Properties Security Deposit Dispute form. This form will allow you to dispute any damage charges you may have incurred. Madbury Properties Staff is not able to take any questions regarding a security deposit return dispute over the phone. All Security Deposit Charge Disputes must be completed within 14-days of Security Deposit return. Disputes will be handled on a first come, first serve basis. We will respond to your request as soon as possible and are not able to accept any calls to our office regarding dispute status. Please email staff@madburyproperties.com with any questions.
